Is this the right reporting route?
- Illegal content
- Use this route when you believe a specific item violates EU or Member State law—for example, certain threats, fraud, child sexual abuse material, non-consensual intimate imagery, unlawful hate speech, privacy violations, or intellectual-property infringement.
- Policy violation
- Use the ordinary in-product report when content may break Community Guidelines but you are not alleging illegality.
- Factual error
- Use the correction route when a date, location, attribution, translation, status, or claim is wrong or missing context.
- Immediate danger
- Contact local emergency services. Fireflies does not dispatch responders and this form is not monitored as an emergency channel.
- Privacy right
- Use Your Data Rights for access, erasure, objection, restriction, portability, or a request concerning personal data about you.
How to submit a notice
Before the reporting form is live, send notices to [LEGAL / DSA EMAIL]. The production page must replace this placeholder with a simple, accessible notice form available without login. It must not hide the DSA route behind the general policy-report flow.
- Identify the content
Provide the exact Fireflies URL, event ID, evidence-item ID, screenshot, timestamp in media, or other detail that lets us locate the specific material.
- Explain the alleged illegality
Describe clearly why you believe the content is illegal. Name the country and legal rule if you know them, but you do not need technical legal language.
- Add supporting information
Include relevant context, source material, court or authority documents, proof of rights, or evidence of harm. Do not send contraband or re-upload illegal material unnecessarily.
- Provide a contact route
Give your name and email so we can acknowledge and decide the notice, unless applicable law permits an anonymous notice, including for certain child-sexual-abuse offences.
- Make the declaration
Confirm in good faith that the information in the notice is accurate and complete to the best of your knowledge.
Information the form will request
| Field | Why it is needed | Required? |
|---|---|---|
| Exact content URL or identifier | Allows Fireflies to identify the specific item | Yes, or equivalent precise location information |
| Content type and timestamp | Locates the relevant part of an image, video, event, profile, or comment if added later | When applicable |
| Reason it is allegedly illegal | Provides a sufficiently substantiated explanation for assessment | Yes |
| Country / jurisdiction | Laws and territorial restrictions differ | Yes, if known; the form should help rather than block |
| Relevant law or authority decision | Can accelerate and improve assessment | Optional unless needed for a specialized rights claim |
| Supporting files or links | Provides context without redistributing illegal material | Optional |
| Name and email | Acknowledgement, decision, clarification, abuse prevention | Normally yes; lawful anonymity exceptions apply |
| Good-faith declaration | Confirms the notice is accurate and complete to the notifier’s knowledge | Yes |
What happens after submission
- Acknowledgement
Fireflies sends an acknowledgement without undue delay when an electronic contact route is provided.
- Triage
The team checks whether the content is identifiable, the explanation is sufficiently substantiated, the claimed jurisdiction is clear enough, and urgent safeguards are needed.
- Diligent assessment
A reviewer considers the notice in a timely, careful, objective, and non-arbitrary way. Fireflies may ask for focused clarification but should not require legal expertise.
- Interim protection
Fireflies may preserve evidence, limit reach, hide an exact location, disable access in a territory, or temporarily remove material when risk warrants it.
- Decision and notice
Where required, Fireflies informs the notifier and affected user of the outcome, respecting confidentiality, safety, legal restrictions, and others’ rights.
A sufficiently precise and adequately substantiated notice can give Fireflies actual knowledge or awareness of the specific item for DSA purposes. Submission does not guarantee removal: some material may be lawful, require context, be restricted only in one territory, or need further evidence.
Possible outcomes
- No action because the content could not be located, the notice was not sufficiently substantiated, or Fireflies did not identify a legal or policy basis for restriction.
- Request for specific missing information.
- Correction, warning, source context, age or sensitivity gate, blur, location generalization, or reduced visibility.
- Temporary preservation, quarantine, or restriction while evidence or lawful authority is assessed.
- Removal, disabling access, or territorial restriction.
- Account warning, feature restriction, suspension, or termination where appropriate.
- Referral or response to a competent authority where required by law or necessary for a genuine emergency.
Statement of reasons
When required by the Digital Services Act or other applicable law, a content or account restriction statement should include:
- the decision and whether it concerns removal, access, visibility, distribution, account features, suspension, or termination;
- the relevant facts and circumstances, including whether a notice or Fireflies’ own review led to the decision;
- the territorial scope and duration of the measure where relevant;
- whether automated tools were used and whether they materially contributed;
- the legal ground and/or specific Terms or policy rule relied upon;
- the available internal appeal, certified out-of-court dispute settlement, regulatory complaint, and judicial options as applicable.
A statement may omit information Fireflies is prohibited from disclosing or that would expose a reporter, compromise an investigation, facilitate abuse, or create a serious safety risk. It should still be as specific and useful as the circumstances permit.
Challenge an outcome
An eligible notifier or affected service user may use Fireflies’ free internal complaint process for at least six months after being informed of the decision. The appeal will be reviewed in a timely, non-discriminatory, non-arbitrary manner and will include qualified human supervision.
Where the DSA applies, you may also be entitled to select a certified out-of-court dispute settlement body, contact the Digital Services Coordinator in your Member State, or seek a judicial remedy. The outcome of an out-of-court process does not remove your right to go to court.
Repeated misuse of notices
Fireflies may suspend processing of notices from a person or entity that frequently submits notices that are manifestly unfounded, but only for a reasonable period, after a prior warning, and following a case-by-case, timely, diligent, and objective assessment.
Relevant factors can include the absolute and relative number of manifestly unfounded notices, their seriousness, the notifier’s apparent intention, and the consequences for others. Disagreement, an unsuccessful good-faith notice, criticism of Fireflies, or failure to cite a statute is not by itself misuse.
Privacy, transparency, and preservation
Notice information is shared only with staff, processors, the affected user, advisers, rights-holders, or authorities as needed for assessment, redress, transparency, safety, and legal obligations. Fireflies will avoid disclosing the notifier’s identity to the affected user where law permits and disclosure is unnecessary or unsafe.
Fireflies may retain the notice, evidence, decision, and appeal record under its retention schedule and may include aggregated notice categories, decision counts, median handling time, use of automation, and reversals in transparency reporting. A legal hold can require preservation after public removal.
